The kind of work that fits remote support
Good candidates for remote support share a few traits:
- They repeat daily or weekly.
- They happen on a screen, in software you already use.
- You can explain them in a page of notes or a short screen recording.
- A small mistake can be caught and fixed before it reaches a customer.
Typical examples are sorting and answering routine email, keeping a calendar tidy, entering orders or contacts, drafting invoices for your approval, chasing missing paperwork and updating deal stages in a CRM. Work that needs someone physically on site, or judgment calls you have never written down, tends to stay in-house.
From inbox to invoices
Most delegated office work sits somewhere along a simple chain. A customer emails or starts a chat. The question gets answered or routed. The contact and any deal get logged in the CRM. Work gets scheduled. An invoice goes out, and someone makes sure it gets paid.
A remote assistant can take over any link in that chain, or several. We group the work into admin and data entry, customer email and chat support, CRM and sales admin, and invoicing and bookkeeping admin. You can request one area or describe the whole chain and let the partner suggest a starting point.
Admin and data entry
Spreadsheet updates, order entry, document filing and list cleanup, done in your own files by an assistant working from a written checklist.
Inbox and help desk
Ticket triage and replies in Zendesk, Help Scout, Gorgias or a shared inbox, under the assistant's own login.
Sales admin support
Lead list building, meeting booking, proposal prep and activity logging for a sales team that would rather be selling.
Receipts and bills
Receipts collected and matched, bills entered and vendor records kept tidy, ready for your accountant to check.
The path to your first assistant
Each step gives you a chance to stop if the fit is wrong.
- Tell us what you would hand over first and roughly how much time it takes now.
- A service partner picks up the request and contacts you with questions.
- The partner sends a scope and quote; you accept, adjust or decline.
- You onboard the assistant with instructions, logins set up safely and a named contact for questions.
Scope before price
Two businesses can both ask for ten hours of help and end up with very different quotes. The difference comes from scope. Covering a support inbox during set hours each weekday is a different commitment from catching up on data entry whenever there is time.
So the partner will ask how many hours you expect each week, which hours need covering, how much judgment the tasks need, how many tools the assistant must learn, and whether you want one dedicated person or a shared arrangement. Answer those clearly and the quote you get will be easier to compare with others.
Good to know
Can the assistant work in my time zone?
Usually, yes. Assistants may be based in different places, so ask the service partner where the assistant works from and how they handle US time zones. For customer-facing tasks such as chat or email support, overlap with your business hours matters a lot. For data entry or invoice preparation, a few hours of overlap for questions is often enough.
Will I work with the same assistant every day, or with a pool?
Both setups exist. A dedicated assistant learns your business and tools, which suits work that needs context, like CRM upkeep or customer replies. A pooled model spreads tasks across several people, which can help with cover and longer hours but leans more on written process. Ask the partner which model they use and who steps in when your assistant is away.
Can I ask the assistant to sign an NDA?
Yes, and many businesses do. The NDA is usually between your company and the service partner, sometimes with the assistant signing as well. Have your own lawyer look over the wording if the information is sensitive. An NDA works alongside good access control and does not replace it, so keep access limited to what each task needs.
How do I end the arrangement if it is not working?
The proposal or agreement should state the notice period and how to stop. When you end it, remove the assistant's access from every system, rotate any shared passwords in your password manager and ask for working files and notes to be handed back. Plan a short handover if someone on your side is taking the tasks back.
What drives the cost of virtual assistant support?
Mainly the number of hours, the type of work and how much judgment it needs. Customer-facing replies and bookkeeping admin usually take more training than straightforward data entry. Cover outside normal hours, specific software skills and a dedicated assistant can also change the quote. The service partner sets the price in its written proposal.
